Enter employee teaching hours into MYOB Payroll

Take each employee's approved hours from InstructorHUB, by pay category, and enter them into MYOB Payroll, which calculates tax and pays your team.

InstructorHUB works out the hours your employees taught, including the classes they covered and the extra work they did, and you approve them. MYOB Payroll then does what it is built for: tax, contributions, leave and the final payment. This guide shows how the approved hours move from one to the other.

The hand-off is a short entry task rather than a live connection. InstructorHUB does not send hours into MYOB for you, so you stay in control of what is entered.

What InstructorHUB does, and what MYOB Payroll does

InstructorHUB generates each employee's expected hours from the classes they teach, moves hours to whoever covered a class, tracks cancellations and extra hours, and holds the period until you approve it. It shows approved hours by pay category for each person, with gross pay as a check.

MYOB Payroll calculates tax, superannuation or other contributions, leave and deductions, works out net pay, pays your employees and handles statutory reporting. InstructorHUB does none of these, and its employer-contribution figure is only an estimate.

Before you start

Approve the period's hours and record the pay run, so the figures are final. Employees only appear in the payroll lane if their employment type is employee, see Employment types explained. If someone is missing, check Include or exclude from payroll.

Steps

  1. Open the pay run for the period and go to Route and record. Each employee has a pay category table with the category, hours, rate and subtotal.
  2. Open MYOB Payroll and start the matching pay run or enter the hours on each employee's pay.
  3. For each employee, enter the hours from each pay category against the matching pay item in MYOB. Use one entry per InstructorHUB line, so Level 1 Teaching and Assistant stay separate if they pay differently.
  4. Compare the total MYOB calculates for each person with the gross figure in InstructorHUB. They should agree. If they do not, check the rate on the MYOB line against the rate shown in InstructorHUB.
  5. Let MYOB Payroll calculate tax and contributions, then post the pay run as you normally do.

When the numbers do not match

A difference almost always comes from a rate set up differently in the two systems, or from an entry that was approved after you copied the figures. Check the rate first, then reopen the period in InstructorHUB to see whether any hours changed. Rerun a period explains how changes are tracked.

Contractors

Contractors are not entered into payroll. InstructorHUB raises an invoice from their approved hours, and you can export those invoices for MYOB or any other accounting system, see Export contractor invoices to Xero or MYOB.
