Common setup questions

Quick answers to the payroll, timetable and access decisions studios make most often during setup and their first pay periods.

This is the quick decision guide for the questions that recur during setup and the first few pay periods. It links each answer to the detailed guide when you need the full process.

Does an owner automatically belong in payroll?

No. In payroll is a choice on each staff profile. An owner who should be paid through InstructorHUB is included and needs the appropriate rate. An owner who is paid outside the run, is salaried without this pay process, or is not paid can remain excluded while still being the assigned instructor on a class.

Do not use a nominal rate to quiet a warning for someone who is outside payroll. Keep the actual teaching assignment, set In payroll off, and InstructorHUB will not create a payable-hours or missing-rate task for that person. Read Include or exclude someone from payroll for the full decision.

Does a cover teacher change whether a class is paid?

It can. InstructorHUB evaluates the person assigned to teach on that date, rather than the normal standing instructor. A cover who is included in payroll creates payable hours using their applicable rate. A cover who is outside payroll remains correctly recorded on the timetable but does not enter the pay run.

This works in both directions. An owner can cover a payable teacher without creating a pay item, and a payable teacher can cover an excluded owner and create one. See Cover and substitutes.

Why does a holding class keep appearing as an unassigned weekly class?

Holding, charge-only and on-demand classes are not regular teaching blocks. Mark the class as excluded from the weekly timetable, hours and payroll. It remains available when the studio deliberately needs to make a manual charge, but it no longer appears as an unassigned, no-room weekly event or creates a recurring exception.

Why is a class missing from pay, or showing a pay warning?

Check the facts in this order: confirm that the class is a real teaching block, check who taught that date, then check that person's payroll inclusion and rate. This prevents a pay setting from being used to hide a timetable error. Follow Troubleshoot timetable and pay for the complete process.

What if a team member cannot use an invitation email?

They should use the newest email, then check Spam, Promotions and Updates before requesting another. Confirm the email address on the staff profile and the invitation status before resending. A newer invitation or verification code replaces the earlier one. Read Logging in for the full process.
