Troubleshoot timetable and pay
Use a short, repeatable check to resolve a missing class, wrong instructor, no-room warning or pay exception without changing the wrong setting.
Updated September 21, 2026Most timetable and pay questions are resolved by checking one fact at a time in the right order. Start with the class, then the date-specific teaching assignment, then payroll inclusion and rates. This prevents a pay setting from being used to hide a roster issue.
The four checks
1. Confirm the class should be in the weekly teaching path
Open the class and confirm it is a regular teaching block for the date in question. Check its time, room, status and season. If the class is a holding, charge-only or on-demand record, exclude it from the recurring timetable, hours and payroll path instead of clearing the same unassigned or no-room exception each week.
2. Confirm who taught that date
Open the class occurrence and check the assigned instructor or one-date cover. The person on that date is the person InstructorHUB evaluates for pay. Keep the actual teacher recorded even if they are a studio owner, salaried or otherwise outside payroll.
3. Check payroll inclusion
Open the staff profile only after the assignment is right. If the person is included in payroll, the occurrence belongs in the pay review. If they are deliberately outside payroll, turn In payroll off. Do not add a nominal rate simply to clear a warning.
4. Check the applicable rate
For a payroll-included person, check the work type, role and effective date of the rate. A personal rate takes priority where it applies; otherwise the correct studio default needs to exist. For an excluded person, no pay rate is needed for that occurrence.
Make the correction in the right place
- A wrong room, class time or standing instructor belongs in the timetable.
- A one-date teacher belongs in a cover or date-specific assignment.
- A person who should not be paid through InstructorHUB belongs outside payroll on their staff profile.
- A payroll-included person with no rate needs the intended rate rule.
After correcting the source, return to the current pay period and generate or review the hours again. Follow this sequence before every pay period and the remaining warnings will be genuine tasks rather than recurring clean-up.
