Run your first pay period

Your first pay run start to finish, so you can see how InstructorHUB turns a set-up studio into paid staff with a few minutes of reviewing.

Your first pay run is the moment InstructorHUB pays off. Everything you set up feeds into one screen where the hours are already worked out, so the run itself is mostly confirming numbers that are right and sending each person's pay the correct way. For most studios this is a few minutes.

This tutorial takes you through that first run end to end, with a little more explanation than you will need once the rhythm is familiar. After this, running pay each period is the same short, confident pass, and you can lean on The pay cockpit whenever you want a reminder of what a part of the screen means.

How it works

Before your first run, make sure your studio has its work types, staff, rates, and a schedule in place. If you have worked through The setup checklist, you are ready. The one thing that trips up a first run is a class with no rate, so clear any rate flags first.

Choose Pay run from the sidebar. InstructorHUB opens on the current period and has already generated the hours from your schedule, so your team's list is populated before you do anything. This is the moment it becomes clear how much the setup does for you.

Work down the list, one row per person, and check the sessions, hours, and amounts look right. Open a row to see the classes behind the figure and correct anything in place. Mark each row ready as you go. On a first run it is worth reading a couple of rows in full so you trust where the numbers come from.

When every row is ready, move to route and record. InstructorHUB sends each person's pay the right way: payroll for employees, an invoice for contractors, and a credit where you use one. Confirm to record the period. Your first pay is now done and the figures are locked.

If you keep accounts in Xero, MYOB, or QuickBooks, export the recorded period so the figures land where the rest of your bookkeeping lives. This closes the loop from schedule to paid to booked.
