Set up a standalone studio

A start-to-finish path from an empty instructorhub.app account to your first pay run.

Standalone means InstructorHUB runs entirely on its own. You own the timetable here, and everything you need to pay your team lives in one account. This tutorial takes you the whole way, from signing up to recording your first pay run, in the order that avoids doubling back.

The sequence matters. Work types come before rates because rates attach to them, staff come before the timetable so imported names have someone to match to, and the timetable comes before pay because pay is built from it. Follow the steps in order and each one has what it needs from the one before.

How it works

Start by creating your studio: sign up at instructorhub.app and set your studio name, country, and timezone. The country matters more than it looks, since it decides the tax and compliance fields your team will need and how contractor invoices handle any tax that applies, so set it correctly now rather than later.

Next, add your work types. A work type is a kind of paid work, such as a group class, a private lesson, or admin time. Set up the ones your studio uses first, because your rates hang off them. Keep it simple to start; you can add more whenever a new kind of work appears.

Then add your staff. Add each person and set how they are paid: employee, contractor, or account credit. This choice drives everything downstream, from whether they are payrolled or invoiced to what tax details they need, so it is worth getting right per person. You can invite them to their own portal now or later.

With your team in place, set your rates. Give each person a rate, either a default that applies across their work or a specific rate per work type. A class with no rate cannot produce a pay figure, so InstructorHUB flags anyone missing one. Clearing those flags now means your first pay run has nothing to chase.

Now bring in your timetable. Import your schedule so InstructorHUB knows what is being taught and by whom, following Import your timetable to get started for the first bring-in. Once it is in, your classes, assignments, and rates are all connected.

Finally, run your first pay period. With work types, staff, rates, and a timetable in place, open the Pay run. InstructorHUB has already generated the hours from your schedule, so you review them, route each person to payroll, an invoice, or a credit, and record the run. That is your first pay done, start to finish.

When you are done you will have a working studio that turns your schedule into correct pay every period. For the day-to-day after setup, Manage your own timetable and Run a pay period are the two you will come back to most.
