Import your timetable to get started
Running InstructorHUB on its own starts with your timetable. Bring your existing schedule in once and InstructorHUB turns it into pay from day one.
Updated September 22, 2026InstructorHUB builds everything from your timetable, so getting your existing schedule in is the first real step. The good news is that it is a one-time bring-in from a spreadsheet you almost certainly already have, and once it is done InstructorHUB can do the heavy lifting of turning it into pay.
This tutorial covers the first import from an empty studio. The same tool keeps your schedule up to date afterwards, so the few minutes you spend here pay off every pay period.
How it works
Start by having your schedule ready. InstructorHUB builds pay from your timetable, so the first thing to bring in is the timetable itself. Most studios already keep this in a spreadsheet: one row per class, with the day, time, class name, and the instructor who teaches it. If yours is in another system, export it to a CSV first. You do not need it perfect, you can tidy names and gaps once it is in.
Open the importer from the sidebar by choosing Setup, then Import timetable. This is the same tool you will use later to keep the schedule current, so it is worth getting familiar with now. Choose Replace for a first import into an empty studio, so what you bring in becomes your starting timetable.
Upload your CSV or paste the rows in, and check the columns. InstructorHUB reads the columns and matches them to what it needs: day, time, class, and instructor. Check the matches it has made and correct any that landed on the wrong column. This mapping is remembered, so future imports from the same spreadsheet line up automatically.
Before anything is saved you see a preview of every class InstructorHUB read from your file. This is your chance to spot a stray row or a class that should not be there. Nothing is created until you confirm, so read the preview as the honest picture of what your timetable will look like.
Next, match your instructors. InstructorHUB matches the names in your file to staff in your studio. A name it recognizes is linked automatically. A name it does not yet know becomes a placeholder you can resolve to a real person, and if you tick Remember this match the same spelling is linked for you next time. This is how a slightly different name in your spreadsheet still ends up paying the right person.
When the preview and the matches look right, choose Review and import to confirm. InstructorHUB creates your classes and assignments in one pass. Your timetable now exists inside InstructorHUB, and from here it can generate hours and run pay without you entering anything by hand.
