Who can see what

The roles in InstructorHUB and what each can do, so the right people can run pay and your instructors see only their own.

InstructorHUB keeps sensitive things, everyone's pay, rates, and personal details, so who can see and do what is deliberately clear. There are three levels, and most studios only ever need the first and the third.

The owner

The owner has the full run of the studio. They can set up work types and rates, manage every staff member, run and record pay, handle contractor invoices, export to bookkeeping, and change the studio's settings. If you set the studio up, this is you. The owner sees everyone's pay, because running pay is their job.

Managers

A manager is someone you trust to help run the studio day to day without handing over ownership. Managers can do the operational work, reviewing hours, running pay, managing the schedule and staff, so a larger studio can share the load at pay time. What a manager can reach is set when you invite them, and you can adjust it later. Some studio-wide settings and the most sensitive controls stay with the owner. Instructors

Your teaching staff get their own portal, and it shows them only what is theirs. An instructor sees their own schedule, their own hours and pay, their own compliance and documents, and, if they are a contractor, their own invoices. They never see another person's pay or the studio's wider settings. Within the portal you can also decide how much each instructor may do, for example whether they can log their own hours or only view what has been logged for them.

Why it is split this way

The split protects two things at once. Your team's pay and personal details stay private to them and to whoever runs pay, and the controls that affect money and the whole studio stay with the people responsible for them.
