Rates & Pay Rules

Create a rate rule

Set what a person is paid for a kind of work, once as a studio default or personally for one instructor, so every class they teach prices itself correctly.

Updated July 18, 2026

Rate rules are what turn a timetable into money. Once a rate is set for a kind of work, every class of that kind prices itself automatically, so you set the rate once and the pay run does the arithmetic for the whole team, every period, forever after.

The order rates resolve in is worth remembering, because it is what lets defaults and exceptions live together cleanly. An instructor's own personal rate wins first. If they have none, the studio default for that work type applies. And if there is no rate at all, the pay run falls back rather than guessing, so a missing rate shows up as something to fix rather than a wrong number. To change a rate from a future date without rewriting past pay, see Effective-dated rates.

How it works

From the sidebar choose Rates. This page is what each person is paid, by work type and role. At the top are your studio-default rates, one per work type, and below them each instructor with any personal rates they hold.

A studio-default rate applies to anyone teaching that work type who has no personal rate, so it is the quickest way to price a kind of work across your team. A personal rate is set on one instructor and always wins over the default for them. Use a default for the common case and a personal rate only where someone is paid differently.

Choose Add rate, on a work type for a studio default, or on a person for a personal one. Pick the work type and the role the rate is for, primary for leading, or assistant or trainee for assisting, since one instructor can be paid differently for leading and assisting the same work.

Enter the amount. The rate reads by the work type's billing basis, so it is a per-hour figure for hourly work and a flat amount per class for per-class work, and the field tells you which it is. That way an hourly rate and a per-class fee are never confused.

Save the rate and it is live for pay from that point. From now on any class of that work type, taught in that role, prices itself against this rate with no further work from you. To retire a rate later without losing its history, deactivate it rather than delete it.
