Updated July 18, 2026Getting your team into InstructorHUB is a matter of inviting them and setting what each can do. The team view keeps that manageable at a glance, everyone with access, everyone still pending, and each person's role, so you are never guessing who can see what.
The distinction that matters most is staff versus manager, because it is the line between someone who sees their own corner and someone who can run the studio. Keep managers to the people who truly share that job. For what each role can see and do in more depth, see Who can see what.
How it works
The team view lists everyone with portal access along with any invites still outstanding, so you can see in one place who is in, who has been invited but not yet joined, and what each person's role is. This is your management view, separate from setting up an individual staff member.
Access comes in two roles. A staff member reaches their own portal, their schedule, hours, pay, and profile. A manager can additionally run the studio-side work, the pay, the team, the settings. Give manager only to the people who genuinely run the studio with you, and staff to everyone else.
Send an invite and the person receives a link to set up their sign-in. You can invite from the team view or from an individual staff member's profile, either way they land in the same place. Until they accept, they show as pending so you always know who is still to join.
An invite is not final until it is accepted, so you stay in control of it. Resend one that was missed, copy the link to pass on directly, or revoke one sent in error. This keeps your pending list clean and means a stray invite is never a loose end.
Roles are not fixed. Promote a trusted staff member to manager when they take on more, step a manager back to staff, or remove access entirely when someone leaves. Access is something you adjust as your team changes, not a one-time decision.
