Assign instructors to classes

Put the right person on each class, in the right role, from the right date, one class at a time or many at once.

Assigning instructors records who teaches a class, in a given role, from a given date. When that person is included in payroll, the same date-specific assignment also creates payable work. InstructorHUB keeps all three facts in view so the timetable stays accurate and the right people are paid when the studio has chosen to pay them through the system.

The quickest way to place someone across a run of classes is Assign mode, where you select the classes, pick the instructor and role once, choose a start date, and apply it to all of them. Bulk assignment works on your regular, repeating classes, since they all share one start date. A one-off event has its own single date, so you assign those individually by opening the class, which keeps its instructor tied to exactly the date it runs.

The two choices that carry the most weight are the role and the effective date. The role points at the person's matching rate, so it is worth setting deliberately rather than leaving everyone as primary. The effective date makes the change history-safe: it starts the new instructor from the date you pick and caps the previous one the day before, so nothing already paid is rewritten. How it works

Go to your schedule. Each class shows who is currently on it, so you can see at a glance which classes still need an instructor and which are already covered.

To assign several classes at once, switch on Assign mode. This lets you select classes across the grid and act on all of them together, rather than opening each one in turn. To change just one class, you can skip this and open that class directly instead.

Tick the classes you want to assign. A running count shows how many you have selected, so you can build up exactly the set you mean before applying anything.

Choose the instructor, then the role they take: primary, assistant, or trainee. The role matters because it decides which of that person's rates is used to pay them for these classes, so an assistant is paid at their assisting rate rather than the leading one.

Choose the date the assignment starts from. The change applies from that date forward and leaves past classes as they were paid, so you can reassign a class mid-term without disturbing history. Dates are forward-only for this reason.

Choose Assign to put the instructor on every selected class from that date. If you picked the wrong person for a class instead, the same panel's Remove option takes them off the selection. For a single class, open it and use Move or swap to change its instructor from a chosen date.
