Set default and custom rates
Set a studio-wide rate for each work type once, then override it only for the people who are paid differently, so most of your pay looks after itself.
Updated September 21, 2026Rates in InstructorHUB are built so you do most of the work once. Instead of setting a number against every person for every class, you set a studio default for each work type, then add a personal rate only for the people who are paid differently. For a lot of studios that means a handful of default rates and a few overrides, and the rest of pay looks after itself.
When the pay run needs a number for a class, it resolves in a clear order: the instructor's own rate for that work type and role comes first, the studio default for the work type comes next, and a system fallback applies only if neither exists. Because a personal rate always wins, an override is never undone by a later change to the default.
Two smaller details make rates fit real studios. Role lets the same person earn one rate leading a class and another assisting it, which is common with senior and trainee pairings. And Effective from lets a rise start on a date you choose without rewriting the pay you have already run. For how a rate then turns a class into an amount, see How a pay number is calculated.
How it works
From the sidebar choose Rate rules. The page is in two parts: Studio default rates at the top, one line per work type, and each instructor's own rates below. This split is the whole idea: set the studio default once, and only add a personal rate where someone is paid differently.
Under Studio default rates, select a work type to set the rate anyone teaching it is paid unless they have their own rate. The value reads by the work type's billing: an hourly work type asks for a Rate per hour, and a per class work type asks for a Flat fee per class charged once each time the class runs. Save it and every instructor on that work type is now covered.
For a senior teacher, or anyone whose rate differs from the default, select Add rate, either at the top of the page or against that person's own group. Choose the Instructor, the Work type, and the amount. A personal rate always wins over the studio default, so you only need to set one where it actually differs.
The Role field lets one person hold different rates for leading and assisting. Add a rate with the role set to primary for when they lead a class, and another with assistant for when they assist, and the pay run picks the right one based on how they are rostered on each class.
When you add a rate you can leave Effective from blank to apply it immediately, or set a future date so a rise starts on a chosen day without touching past pay. See Effective dated rates for how a dated change protects periods you have already run.
An instructor included in payroll needs either a personal rate or a studio default for the work they teach. The page flags a missing rate so you can set the intended value before review. An instructor deliberately excluded from payroll remains correctly assigned to their classes and does not need a nominal rate to clear a warning.
