Staff time blocks
Pay for non-class time like admin, front desk, and cleaning by recording it as a staff time block alongside your classes.
Updated July 18, 2026Not everyone you pay is teaching a class. A front desk shift, a studio clean, an admin block, or a non-teaching instructor's hours all cost you money and all belong in your pay run, and staff time blocks are how you capture them. Recording this time in the same place as your classes means the whole of a person's paid time flows through one pay run, so nobody is left to be paid on the side.
A staff time block is simply payable time for one person that is not a class. You add it from the schedule's +New action by choosing Staff time, then giving it a short label for what the time is, like front desk or studio clean, and choosing the staff member it belongs to. From there it behaves just like a class: you set whether it repeats weekly or happens just once, the day and times, and optionally a pay category and a room. Once saved, it appears on the schedule and generates hours for that person exactly as a class does.
Because a block is one person's own time, it belongs to a single staff member rather than being assigned like a teaching class. If the time should move to someone else, you change the assignee with the Change staff member action rather than reassigning it in bulk. And unlike a teaching class, whose day and time come from your studio's timetable, a staff time block is InstructorHUB's own record, so you can edit its label, day, time, and room here directly whenever the arrangement changes.
The pay category you attach decides how the time is charged, following the same work type and billing rules your classes use, so cleaning time paid hourly and teaching time paid per class can sit side by side and each be worked out correctly.
