Share files with your team

Upload files, links, and videos, organize them into folders, and choose who can see each one, so your team always has the right material to hand.

Your Resources library is the shared shelf for everything your team needs: policies, choreography notes, music, training videos, and links. This tutorial walks you through adding your first resource, tidying it into folders, and controlling who can see it.

Work through the steps in order. The whole thing takes only a few minutes, and once it is set up your instructors will find the right material in their own portal without having to ask.

How it works

From the sidebar choose Setup, then Resources. This is your studio's shared library. The counters at the top show how many resources, folders, and tags you have. If it is your first time here it will be empty.

Select Add resource. You can either upload a file (documents, images, audio, and video are supported) or add a link to something that already lives online, such as a video or a shared document. Uploading keeps the file in your studio's library; a link points to it wherever it is.

For an upload, drag a file in or select Browse files. InstructorHUB fills in the title from the file name, which you can change to something your team will recognize. Add a short description and pick a folder if you want it filed away rather than sitting at the top level.

Open a resource and set a thumbnail to give it a recognizable cover image. You can change or remove the thumbnail at any time, and the new image shows straight away.

Use New folder to group related material, for example one folder per program or per term. You can move resources between folders, and folders can hold their own access rules so a whole group of files is shared with the right people at once.

By default a resource is visible to everyone on your team. To narrow it, set access by work type (for example, only ballet teachers) or by named staff. Your instructors see a filtered, read-only view in their portal that shows only what they are allowed to see.
