Control who sees a resource

Share a file or folder with everyone, a named few, or anyone teaching a kind of class, so instructors have what they need and nothing more.

Not every resource is for everyone. A choreography video might be for one class's team, a policy document for all staff, a syllabus for whoever teaches ballet. InstructorHUB lets you set that on any resource or folder, so people see what is relevant to them and are not wading through what is not.

The four ways to share

Open the access editor on a resource, from its Access action, or on a folder from its shield icon, and you choose one of four levels:

Everyone in the studio is the default. Any staff member can see it. This is right for the things that genuinely apply across your team, and it is what a resource has until you narrow it.

Specific staff members limits it to the people you name. Use this for something meant for a particular few, and no one else.

By work type shares it with anyone who teaches that kind of work. This is the quietly useful one, because it keeps working as your team changes, a new instructor added to that work type sees the resource automatically, without you remembering to grant them access.

By staff tag shares it with everyone carrying a tag you have set, which is handy for a group you have already organized with tags, such as a location or a team.

Folders carry access too

A folder has its own access rule, so you can set the sharing once on a folder and let everything inside it follow. For a nested folder you can also require that a viewer passes the parent folder's rule as well, so access stacks the way you would expect, if someone cannot see the parent, they do not see what is tucked inside it either.

Because access lives on the resource and the folder rather than on each person, granting and narrowing is a matter of setting the rule once, not maintaining a list per staff member. To see this from the instructor's side, read What instructors see.
