Compliance fields by country

InstructorHUB asks for the right tax, bank, and retirement details for where your studio operates, and only from the staff who need them.

Updated July 18, 2026

Before you can pay someone properly, you need a few details from them, and exactly which details depends on where your studio operates. InstructorHUB sets your studio's country in your settings, and that country decides which compliance fields it collects, so you are asked for what your jurisdiction actually requires, not a generic form.

Three kinds of detail

Compliance is grouped into three areas, and a person is complete once each area that applies to them is filled in. Tax covers the identifiers your revenue office needs, in whatever form your country uses. Bank covers where their pay is sent, in the local form your country's banking system expects. Retirement contributions, where the country requires them, covers pay into an employee's retirement or pension scheme.

Because the fields follow the country, you do not have to know which form applies. InstructorHUB presents the right one and marks a person short until the required fields are there.

Only the staff who need it

Not everyone is chased for these details. Employees and contractors are, because you pay them and the obligations attach to that. But a studio owner and anyone on account credit are exempt, since they are not payroll staff in the same way, so InstructorHUB does not nag you for compliance that does not apply to them. That keeps your outstanding list honest: what shows as missing is genuinely missing.

Seeing what is outstanding

Each staff member carries a compliance status, and a count of what is still needed shows against them, so you can see at a glance who is ready to be paid and who has a gap to close. An instructor can help by filling in their own details from their portal, though those come to you as a request to approve rather than a direct change, as covered in Request, waive, and expiry, and see Employment types explained for who counts as payroll staff.
